Privacy Policy
Effective and last updated: October 1, 2026
evolution-VoIP ("we") respects your privacy. This policy explains what personal information we collect through evolution-voip.com, why we collect it, how we protect it and what your rights are, in accordance with Quebec's Act respecting the protection of personal information in the private sector (Law 25) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information We Collect
We only collect the information you give us voluntarily, plus a few technical details needed to run and secure the site.
- Contact form: your name, email address, phone number, the subject and content of your message, the language used and a technical anti-spam verification score (reCAPTCHA).
- Your VoIP compass (questionnaire): your name, email address, phone number, address, your answers to the questions and the recommendation produced from them.
- Correspondence: the emails you send us and our replies.
- Technical data: like any website, the server that hosts this site may automatically record connection details (IP address, browser type, pages requested) for operation and security purposes.
2. How We Use Your Information
We use your information only to:
- respond to your requests and provide you with a quote;
- prepare your personalized recommendation and email you the link to it;
- follow up with you about your VoIP compass questionnaire if you started it but did not finish it;
- schedule an appointment with you when you ask for one;
- protect the site and our forms from spam and abuse;
- meet our legal obligations.
We do not sell or rent your personal information, and we do not use it for advertising.
3. Consent
By submitting a form on our site, you consent to the collection and use of your information for the purposes described in this policy. We collect only what is necessary for those purposes. You can withdraw your consent at any time by contacting the person responsible listed in section 9; withdrawing may, however, prevent us from continuing the service you requested.
4. Cookies and Tracking
- One essential functional cookie: when you start the VoIP compass questionnaire, a cookie named evoip_q_token is saved in your browser for 30 days. It lets you continue your questionnaire and is used for nothing else. It is necessary for the service you requested and therefore does not require separate consent.
- No advertising or analytics cookies: we do not use any statistics or advertising tracking tools.
- Google reCAPTCHA: our forms (contact and questionnaire) use Google reCAPTCHA v3 to block spam. It is a security tool: Google may analyze certain technical data about your device and browsing. Its use is governed by Google's own policies.
- Google booking calendar: the recommendation page may display an embedded booking calendar provided by Google. It loads only if you click "Accept" in the banner. Google may then collect data and set cookies. If you decline, you can still open the booking page in a new tab.
- Fonts: they are served from our own server; no external font service is used.
- Your cookie choice: it is stored in your browser's local storage (not in a cookie) and is never sent to our servers. You can change it at any time with the "Cookie settings" link at the bottom of every page.
5. Sharing and Disclosure
We share your information only with the service providers needed to operate the site, who act on our behalf: our hosting provider BareMetal (Canada), Zoho (sending and receiving email) and Google (reCAPTCHA and the booking calendar). We may also disclose information when required by law.
6. Transfers Outside Quebec
Our site is hosted in Canada. Some of our providers (Google, Zoho), however, may process data outside Quebec or Canada. When that is the case, we make sure the information receives adequate protection, as required by Law 25.
7. Data Retention and Security
We retain personal information only for as long as necessary to fulfill the purposes outlined in this policy or as required by law, after which it is deleted or anonymized. Access links to your answers expire after 48 hours, and recommendation links expire after 30 days.
We apply reasonable security measures: encrypted connections (HTTPS), restricted access to stored information and protected servers. Since no method of transmission or storage is completely foolproof, we cannot guarantee absolute security.
8. Your Rights
You have the right to:
- know what personal information we hold about you and access it;
- request the correction of inaccurate or incomplete information;
- request the deletion of your information or withdraw your consent;
- obtain a copy of your information in a structured, commonly used technological format.
We respond to your requests within 30 days. If you believe your rights have not been respected, you may file a complaint with the Commission d'accès à l'information du Québec or the Office of the Privacy Commissioner of Canada.
